To check that your email software is using the correct settings for incoming and outgoing email servers, please see the following examples for different email programs (also known as email clients).

Unless you are using external email (e.g. Microsoft Exchange, Gmail), your incoming and outgoing server settings should be in the form mail.mydomain.com.

Here is how to check that in some example email clients.

Outlook (Office 365)

Outlook (New Outlook 2024)

Click Settings (cog icon at top right of screen) > Accounts > Manage (next to relevant account). 

If required, click Edit and change to the form mail.mydomain.com, replacing mydomain.com with the correct domain for your email address.

Thunderbird

Click Tools > Account Settings.

Incoming: Under the relevant email address, click Server Settings. Make changes if required.

Outgoing: Click Outgoing Server Settings in left hand column. If required, click Edit and change to the form mail.mydomain.com, replacing mydomain.com with the correct domain for your email address.

Apple Mail (iPhone/iPad)

Go to Accounts and Passwords. Under Accounts, tap on the Mail account to check. Go into the settings. These should appear as below, but with your own domain instead of the example. 

If required, click Edit and change to the form mail.mydomain.com, replacing mydomain.com with the correct domain for your email address.
